The challenge

Why a purpose-built platform was needed

BuyRepos needed a system to manage repossessed vehicles from intake through auction and final sale. Off-the-shelf solutions couldn't handle the complexity of multi-role inspection workflows, bank-grade documentation, live bidding with proxy support, and Stripe-integrated invoicing — all under one roof. The goal was a single platform that every stakeholder — inspector, detailer, booking agent, bidder, and administrator — could operate from day one without friction.

Inventory Management

CSV import with error logs, manual entry, status tracking, filtering, archiving, and CSV export across 9 vehicle categories.

Inspection System

Dedicated dashboards for mechanical, vehicle, detailer, and review/booking inspectors — each with at-a-glance analytics showing items in-process vs. completed.

Auction Management

Create and manage weekly auctions with start/end times, add ready inventory, review expired auctions, and export per-item bid history.

Live & Proxy Bidding

Standard bidding with automatic 10-minute extensions if a bid lands within 1 minute of close. Proxy bidding auto-increments $25 above competing bids up to the user’s set maximum.

Invoicing & Buy Now

Auto-populated invoices with fee calculator (buyers fee, doc prep, tax, transport). Separate Buy Now invoice flow. Stripe integration for stored credit cards and fee collection.

Document Generation

One-click generation of Booking Report PDF, Wash Sheet PDF, Buyers Guide PDF (incl. T&C page 2), and Window Sticker PDF — all pre-populated with item-specific data.

Valuation Tools

Bluebook, NADA, Blackbook, and MMR calculator with optional field inclusion on reports. Material cost calculator deducts repair investment from average value to surface a net valuation.

Buyer-Facing Website

Responsive public site with live inventory display, single-item bidding UI, scrolling marketing banners, user registration (basic & dealer), bid history, and account management.

User roles

Built for every stakeholder

Five distinct user roles each have tailored dashboards, permissions, and toolsets — ensuring the right people see the right data.

Administrator

Full system access — user management, CMS, all reporting, auction creation, invoicing, and system configuration.

Mechanical Inspector

Documents engine status, ABS, brakes, transmission, fuel type, airbags, TPMS, exhaust, and overall mechanical condition. Must enter mileage before submission.

Vehicle Inspector

Documents interior features, glass conditions, tire conditions, exterior damage with photos, airbag status, structural conditions, and body condition across all category types.

Detailer

Completes wash, VAC, window cleaning, visor/glove box/console checks, and generates the Wash Sheet PDF. Can also add condition notes and photos.

Review / Booking

Uses inspection data to determine item value using the valuation calculator, sets reserve price, generates Booking Reports, and signs off items for auction.

Inspection system

Multi-role vehicle inspection

The inspection workflow is the operational core of the platform. Each inspector role has a dedicated module with specific fields, condition photo uploads, and at-a-glance analytics showing items in-process and completed.

Mechanical inspector covers:

  • Engine light, ABS, brake light, airbag light status
  • Transmission, 4x4, brakes, battery, fuel type, drive type
  • Exhaust system, drive chain, TPMS, generator
  • Mileage entry required before submission (or 'Unknown')

Vehicle inspector covers:

  • Interior features — heated seats, navigation, Bluetooth, roof type, and 80+ additional variables
  • Glass condition — windshield, all side windows, rear window
  • Tire condition — all four corners with condition rating
  • Exterior condition — bumpers, panels, paint, rust, dents, scratches with condition photos
  • Airbag deployment status per position

Condition photo system:

  • Default photo blocks with predefined issue descriptions (dents, scratches, rust, missing trim, etc.)
  • Dynamic additional photos — inspectors can add as many as needed
  • Drag-and-drop reordering of condition photos
  • Itemized repair notes with photo, labor estimate, and parts cost

All four document types are generated as print-ready PDFs, pre-populated with item-specific data, and available for bulk export.

Booking Report PDF

Condition summary, valuation calculator results (Bluebook/NADA/Blackbook/MMR — optional per field), itemized work order, and item case number. Available to Admin and Review roles.

Wash Sheet PDF

Detailer checklist — wash, VAC, window cleaning, interior checks, and non-runner flag. Generated by the Detailer role.

Buyers Guide PDF

Two-page document: page 1 contains item-specific public disclosure information; page 2 contains standard terms and conditions included with every vehicle.

Window Sticker PDF

Public-facing vehicle disclosure sheet displayed during auction, pre-populated with all relevant item details.
